AI agents in business: where they save time and where they don’t

AI agents can answer enquiries, sort data and trigger workflows. They make sense where tasks repeat and follow clear rules.

AI agents at work

There is a lot of talk about AI, but in day-to-day business one question counts: which task gets done faster or better? AI agents are programs that understand information, make decisions according to fixed rules and trigger actions in other systems. They do not replace a team, but they can take routine work off it.

Where AI agents work well

  • Frequent questions: opening hours, delivery times, prices or processes can be answered automatically on your website, even outside office hours.
  • Sorting enquiries: an agent can read incoming enquiries, categorise them by topic and transfer the key details straight into your CRM.
  • Preparing documents: quotes, summaries or draft replies are created as templates that a person checks and approves.
  • Internal questions: a knowledge assistant finds information in manuals and internal documents faster than searching folders.

Where the limits are

For decisions with major consequences, for sensitive personal data or where there are no clear rules, a person should decide. AI results need checking, especially at the start. And not every process is worth it: something that happens once a month rarely justifies automation.

Data protection from the start

Before you begin, it should be clear which data is processed, where it is stored and which services can be used in line with the GDPR. These questions belong in the planning, not at the end.

How to start sensibly

Start with a single workflow that repeats often and costs time. Test a first solution in daily work, measure whether it helps, and only then expand. That keeps the effort manageable and lets your team get used to the new tools step by step.
